Building a National Online Admission Portal for One of India’s Most Prestigious Universities

How we designed, developed, and deployed a secure online admission system for Nalanda University — a Ministry of External Affairs, Government of India initiative — handling national and international student applications with real-time payment settlements.

The Problem We Solved

Nalanda University is not your average university. It is a Government of India initiative under the Ministry of External Affairs — a revival of the ancient Nalanda institution — and it carries that weight in everything it does. When they needed a digital presence and an online admission system, the bar for quality, security, and reliability was exceptionally high. The university offers Masters and PhD level courses and receives applications from both national and international students. Before the online portal existed, the admission process had no centralized digital gateway — students from across the world had no standardized way to apply, submit their academic records, or make payments. The university also had no system to review, update, and export admission data efficiently for their internal screening process.

On top of the admission portal, the university needed a website — one that could represent an institution of this stature, handle hundreds of pages of content, and remain rock-solid from a security standpoint.

SOLUTION

Our Approach: A Secure, End-to-End Admission Experience

We delivered two things for Nalanda University — the website and the admission portal — and both needed to reflect the prestige of the institution while being genuinely easy to use for students applying from anywhere in the world.

Architecture Layers:

• Admission Portal (Laravel + MySQL): The main student-facing system. Handles registration, course selection, multi-step application forms, payment processing, and real-time status updates.
• University Admin Panel: Allows university staff to open and close admission windows, review incoming applications, update application statuses, and export admission data for internal screening.
• Payment Gateway (HDFC Bank): Integrated for both domestic and international payments, with real-time settlement updates reflected directly in the system.
• Website (WordPress): Hundreds of pages, custom design, government-grade security. Fully hosted and maintained by Neuvo WebTech.
• Infrastructure: Both the website and portal are hosted on servers managed entirely by Neuvo WebTech.

The website was built on WordPress with tight security configurations and custom design. It handles hundreds of pages of content and is fully managed and hosted by Neuvo WebTech. The admission portal — which is the heart of this case study — was built on Laravel with a MySQL database.

KEY TECHNICAL DECISIONS

• Flexible Admission Window Control: The university decides when admissions open and close — not the system. We built the admission window as a configurable toggle in the admin panel, so the university can open applications at their own schedule without any technical intervention needed.
• Two-Course Selection Cap with Draft Support: Students can apply for a maximum of two courses per admission cycle. We also built in a draft-saving feature so students can fill out the complex application form over multiple sessions without losing their progress — important given how detailed the Masters and PhD forms are.
• HDFC Bank Gateway for International Payments: We specifically integrated HDFC Bank’s payment gateway because it supports both domestic and international transactions in one integration. Real-time settlement updates are reflected directly in the admin panel, so the university always has an accurate picture of payment status without chasing records manually.
• Export-Ready Admin Panel: The university’s internal screening process happens offline after the digital applications are collected. We built the admin panel with clean data export functionality so the admissions team can pull the data they need in a structured format and hand it off to their internal committee without any friction.
• Government-Grade Security on WordPress: A WordPress site for a government institution needs to be locked down properly. We implemented tight security configurations, hardened the hosting environment, and continue to maintain and monitor the server — so the university doesn’t have to worry about it.

RESULTS

Impact & Metrics

Before the portal existed, Nalanda University had no standardized digital admission process for national or international students. Since launching the system, students from across India and around the world can register, complete their application, and make payment — all in one place. The university team has full control over the admission cycle and can review, update, and export data without depending on any external support.

Beyond the numbers paragraph: This project meant a lot to us. Working with a Government of India institution — and one with the historical significance of Nalanda — is not something you take lightly. We made sure every detail, from the security of the hosting environment to the smoothness of the student registration flow, was done properly. The portal is live, the website is running, and Neuvo WebTech continues to manage both.
